We are looking for a highly organized and service-oriented Office Manager to join our Stockholm office. In this role, you will be at the center of our daily operations, ensuring that our office runs smoothly while supporting a variety of local and firm wide processes.

This is an excellent opportunity for someone who enjoys taking ownership, working independently, and contributing to a dynamic and entrepreneurial environment.

What you'll do

Finance & Administration

  • Manage invoicing processes and monitor incoming and outgoing payments
  • Assist with expense management and receipt administration

HR Support

  • Coordinate recruitment activities and interview scheduling
  • Maintain employee data and administrative processes in our HR system

Marketing & Communications

  • Update local marketing materials and ensure compliance with company standards
  • Support the planning and execution of internal and external events

IT & Infrastructure

  • Manage mobile subscriptions, software licenses, and hardware purchases

Local Operations

  • Support payroll, benefits administration, and insurance-related processes
  • Maintain office inventories and related documentation

Office & Event Management

  • Ensure the office remains professional, organized, and fully operational at all times
  • Plan and coordinate internal events and marketing activities
  • Prepare meeting rooms and welcome clients and visitors

Team Support

  • Serve as a trusted point of contact for colleagues regarding office-related matters

About you

  • Positive, reliable, and solution-oriented personality
  • Proactive mindset with a strong willingness to take ownership and drive improvements
  • Previous experience in an administrative, service-oriented, hospitality, reception, or office support role
  • Experience in HR, payroll and finance is beneficial but not required
  • Hands-on attitude and ability to independently manage a broad range of responsibilities
  • Strong organizational and communicational skills
  • Excellent attention to detail and ability to prioritize effectively
  • Fluent in Swedish and English, both written and spoken
  • Comfortable working independently while collaborating closely with colleagues across multiple offices
